Importing your records from another system
Migrate to Weft: which systems you can import from, how to export from each, and how duplicates, repeat imports and timing work.
Who this is for: Practice administrator
Importing is done once, by a practice administrator, from Settings. You export a file from your old system, upload it, check what Weft found, and only then bring it in. Nothing reaches your records until that last step.
Choose your old system
Each guide covers how to export from that system, what to send to Weft and what comes across.
Note: Moving from SimplePractice to Weft: clients, from two reports, as one ZIP file.
Note: Moving from DrChrono to Weft: clients, diagnoses and appointments.
Note: Moving from Veradigm EHR to Weft: clients, diagnoses and questionnaire results.
Note: Moving from WithinEHR to Weft: clients, appointments, diagnoses, assessments and notes, from its practice export ZIP.
How your file is handled
The file is sent whole and held encrypted until it has been read. A file that is not the export for the system you chose is refused, and nothing is saved when it is.
Duplicates
If a client in the file looks like somebody already in your practice, Weft holds that client under Still to answer and asks. You open the client it found, or choose Bring in as a new client. Nothing is merged without your answer.
Tip: Bring your clients in before you start booking in Weft, so a duplicate is found rather than created.
Running an import again
Where the system gives each client a number, bringing in a second file recognises the clients already written and does not duplicate them. SimplePractice's reports give none, so a second SimplePractice import is refused row by row with the reason shown in the preview. An upload you looked at but never brought in wrote nothing, so uploading again is always safe.
Important: Selecting Bring this export in is the step that writes the records, so read the preview first.
How long it takes
A file is read in the background. The status on the screen moves from Waiting to be read, to Processing, to Read, waiting to be brought in, and you can leave the page and come back to it. A bigger file takes longer, and the file limit is 25 MB.
Checking and finishing
Whichever system you came from, finish the same way.
- Open the export from Import history. What was found counts what was read, by kind of record.
- If there are rows under Still to answer, answer each one: open the client Weft thinks it is, or choose Bring in as a new client.
- Read Records this practice's record would not take. Each row says why it was refused, and the rest of the export is unaffected.
- When the counts look right, select Bring this export in. Nothing is written to your records until you do.

Common questions
What if Weft refuses the file?
The screen tells you why and nothing is saved. A file of the wrong type or over the size limit is refused before it is sent. A file that is not the export for the system you chose is refused after it is sent, so check that Source matches the file, then upload again.
Who can import?
Only a member who can manage the whole practice. The Import records section is not shown to anyone else.
Can I take my records back out of Weft?
Yes. See Exporting your practice's records.
