Adding a new client

Register a client in two short steps while they are on the phone, and see whether they are already on file.

Who this is for: Scheduler, Clinician, Practice manager, Practice administrator

A new client is registered from the client list, or from the booking sheet when you are booking somebody who is not on file yet. Everything you type is kept while you go, so a dropped call does not lose it.

Take their details

  1. Select Clients, then Add a client. The New client sheet opens on its first step, Identity.
The New client sheet on its Identity step, with the legal name, preferred name and date of birth fields.
  2. Enter the Legal first name and Legal last name. Under Preferred name, enter what they would like to be called.
  3. Enter the Date of birth, then choose Sex and, if they have said, Gender identity in their own words and Pronouns.
  4. Enter a Mobile number and an Email, and choose under How should we reach them?
  5. Select Continue.

Say how soon they need to be seen

  1. Under How soon do they need to be seen?, choose Routine, Urgent this week or Crisis.
  2. Under Who referred them?, choose where the referral came from.
  3. Select Add followed by the client's name. They are on the client list straight away, with a record number of their own.

Important: Choosing Crisis puts the client at the top of every client list in the practice and flags them on their chart.

If somebody on file looks like them

When you continue, Weft checks the whole practice for somebody with the same details, including clients you cannot open yourself.

  1. Read Somebody on file looks like this person. If it is them, select Open this client and nothing new is created.
The warning that somebody on file looks like this person, with Open this client and This is a different person.
  2. If it is somebody else with similar details, select This is a different person and carry on.

Common questions

Who is the client's clinician?

A clinician who registers a client is put on their care team. Anybody else registering leaves them unallocated, and a practice manager or administrator names a clinician from the client list. See Finding a client.

Can I record their address?

Not today. The registration and correction sheets take the details listed above.
