Insurance from start to finish
Follow one client through insurance billing: set up, the client's policy, eligibility, rates, the claim, the payer's payment, a denial, a second payer and the client's share.
Who this is for: Biller, Practice manager, Practice administrator
This guide follows one client from the first visit to the last dollar. Each stage has its own article, so you can start anywhere, and every article links to the next. Insurance billing appears only where it is available to your practice; the screens are under Insurance in the side rail.
The stages in order
Each stage names the screen it happens on, so you can follow along in your own practice.
- Turn on insurance billing and adopt payers. This is done once for the practice.
- Record the client's insurance and card from the client's chart.
- Check eligibility to see whether the policy is in force and what the client owes.
- Record contracted rates so each payer's allowed amounts are on file.
- Work the Work tab to find finished appointments that have no claim.
- Assemble and send a claim for one of them.
- Post what the payer pays from the ERA.
- Fix a rejected or denied claim and send it again.
- Bill the second insurance when the client has more than one policy.
- Bill the client their share for what the payer left with them.
Tip: Work through the stages in this order the first time. After that, most days are the Work tab, the claim and the ERA.

Common questions
Who does the insurance work?
Billers, practice managers and practice administrators. What each person sees depends on their role.
How long does a claim take?
Payers answer in days rather than seconds. The claim's history shows each step, and the Work tab lists anything that needs a person.
